Who counts as a protected user?
Any user with an active Microsoft 365 or Google Workspace license that you include in a backup policy. Shared mailboxes, resource mailboxes and SharePoint sites are included at no extra charge.
What happens to employees who leave?
Move them to archived status after their license is removed. Their backups stay protected under the same retention for $1.00 per user per month.
Are there storage, egress or restore fees?
No. Storage is unlimited on every plan, and restores and exports are not metered.
Can I change seats during the year?
Yes. Added users are billed pro rata for the rest of the term. Seat reductions take effect at renewal on annual plans, or at the next invoice on monthly plans.
How does this compare to Microsoft 365 Backup?
Microsoft's native Microsoft 365 Backup is billed at $0.15 per GB per month of protected content. A user with 50 GB across mail and OneDrive would cost about $7.50 per month that way. DataShield charges per user, so cost doesn't grow with mailbox size.
